Choose the correct portal

If you live in Kolkata, go to KMC's official portal (kmcgov.in); if you live in another municipality, go to that municipality's portal; and if you live in a rural area or small town, go to the e-District West Bengal portal (edistrict.wb.gov.in).

Search for the registration record

Search for the record using the registration number on the birth record issued by the hospital. Usually the hospital or panchayat/municipal authority adds the record online within 21 days of birth.

Add the child's name

If no name was given at the time of registration, fill in the Name Inclusion form on the portal. Pay the prescribed fee and download the updated record.

Download the digital certificate

Once the record is verified, download the PDF birth certificate from the portal. It carries a unique registration number and a QR code that anyone can use to verify its authenticity.

For older births: Non-Availability Certificate

If the record of a birth many years ago is not available online, submit the Non-Availability Certificate (NAC) form at the relevant municipal office or BDO office. After a record search, the certificate is issued, after which registration can be done afresh.

How long does it take to get a birth certificate?

Introduction

A birth certificate is the government proof of a person’s date of birth, place of birth, and parentage — it is needed for school admission, passport, and even to receive government scheme benefits. Under the Registration of Births and Deaths Act, 1969, registration within 21 days of birth is mandatory, and registration within this deadline is completely free.

Where to Apply — By Area

  • Kolkata: The Kolkata Municipal Corporation (KMC) official portal kmcgov.in — search records and download certificates from the Birth & Death section.
  • Municipality areas: Your own municipality’s portal or the e-District West Bengal (edistrict.wb.gov.in) portal.
  • Rural areas: Births reported to the gram panchayat are registered at the BDO office or on the e-District portal.

Name Inclusion and Correction

Sometimes the child’s name is not given at the time of registration — leaving the name blank on the certificate. The name can be added later through the portal’s Name Inclusion option by paying the prescribed fee. If the name, date of birth, or parents’ names are wrong, the correct proof (school register, Aadhaar card, etc.) must be submitted with the Correction form.

Registration of Older Births

Records of births before 1990 or earlier are often not available online. In that case:

  1. Submit a Non-Availability Certificate application at the relevant municipal office / BDO office.
  2. The office searches the old registers for the record; if not found, it issues an NAC.
  3. With the NAC, a delayed registration can be done and a new certificate obtained — this is usually required by passport offices and for travelling abroad.

Caution

Every government service related to birth certificates is available on the portal or at the office for a nominal prescribed fee. Do not pay extra money to post offices or agents claiming a “faster certificate” — scanning the portal’s QR code settles genuine and fake alike.
